My family Roth IRA handoff

Where to look. Which records to keep. Who to call.

Use one sheet per account. Keep it secure. Leave off passwords, security codes, Social Security numbers and full account numbers. This sheet does not change beneficiaries or authorize account access.

1. Find the account

Prepared by / date
Firm holding the account

Account type: own Roth IRA / inherited Roth IRA / other: __________________

Firm’s phone number, verified from statement or official website

2. Find the records

Secure folder location and how an authorized person can obtain it

Beneficiary confirmation: primary and backup beneficiaries, shares and date checked with the firm.
Earliest Roth IRA contribution or conversion tax year for the owner's benefit (the original owner if inherited), with supporting evidence: __________ / not yet confirmed.
Contribution, conversion, rollover, transfer and withdrawal history; Forms 5498, 1099-R and applicable Forms 8606/supporting records.

An empty account’s opening date is not the qualification-clock start. For an inherited account, preserve the original owner’s history and existing withdrawal schedule separately.

Missing records or questions to resolve

3. Find the right people

Family member or friend / phone
Tax or estate professional / phone

Name each role separately: beneficiary, brokerage trusted contact or financial power-of-attorney agent. A trusted-contact designation alone gives no authority to trade, withdraw or make decisions.

We walked through the sheet together. They know where the records are and which firm to call.

After a death: contact the firm promptly about required documents and beneficiary next steps. Confirm the withdrawal schedule before moving money; use the firm’s authorized process.
